How to choose a pharmaceutical ERP

Choosing an ERP is a big decision for any business. For pharmaceutical manufacturers and distributors it carries extra weight, because the system becomes the record that proves what was made, from what, and where it went. This guide sets out what to look for and the questions worth asking before you shortlist.

Start with your processes, not the software

Before looking at products, map how materials, batches and approvals move through your business today. Note where information is re-keyed, where spreadsheets fill gaps and where quality decisions rely on someone remembering a status. These gaps become your requirements, and they keep demos focused on what matters to you rather than on features you will never use.

Batch and lot traceability

Traceability is the first test of any pharmaceutical ERP. You should be able to trace any finished batch back to the supplier lots it used, and forward to every customer who received it, without stitching reports together. Ask vendors to run a mock recall in the demo using realistic data.

Quality status and release control

Material awaiting testing, or on hold, must not be usable or shippable. Look for a system that enforces quarantine through locations or blocked lots, so the control sits in the software rather than in a procedure people have to remember.

Expiry, retest dates and FEFO

Shelf life drives both compliance and write-offs. The ERP should record expiry and retest dates against each lot, pick on a first-expiry-first-out basis and warn you while stock still has commercial value.

Validation and audit trail

Regulated processes need a complete change history and controlled configuration. Ask how the vendor or partner supports validation, what documentation is available and which industry extensions add GxP-specific features on top of the core product.

Integration with laboratory and quality systems

Most pharmaceutical businesses keep specialist LIMS and QMS tools. The ERP should connect to them through standard APIs, so results and quality decisions flow into stock status without manual updates.

Costing and financial control

Batch costing with actual material, labour and yield shows where margin is won or lost. Finance built into the same system means stock, production and purchasing post straight to the ledger, and month-end does not depend on reconciling separate tools.

Questions to ask on your shortlist

  • Can you show a full forward and backward trace from a real-looking batch?
  • How is quarantined stock prevented from being used or sold?
  • How are expiry and retest dates managed and alerted?
  • What validation support and documentation do you provide?
  • How does the system connect to our LIMS and QMS?
  • What does a phased implementation look like for a business our size?
